Inventory Audit App


The inventory audit app allows employees to walk around the store, count inventory, send changes to the web app for approval or change the inventory quantities in real time.
 
Terms to know:
  • Flowhub quantity - Current Inventory count in POS
  • Audit - The act of counting inventory
  • Discrepancy - When the physical count does not match the Flowhub quantity

Search inventory by:
  • Category
  • Room
  • Search by:
    • Product Name
    • Scan or type the METRC Package Tag (last 4 digits are good too!)
  • Gear Icon (top right) lets you filter by med, rec, or other (accessories)
 
Green Clock: Inventory is up to date as of today.
Orange Clock: After one day as green, the clock changes to orange.
Red Clock: After one week the clock changes to red.
Orange triangle: An employee counted an amount different than the Flowhub quantity, needs a manager’s approval to update the quantity permanently.
Status Icon: Located in the top right of a counting screen, click here to see an inventory item’s  audits and discrepancy history.
 

Managers
Permission: Manage Inventory
Follow these steps to audit Inventory:
  1. Locate the physical inventory in the store and the inventory within the Audit app.
  2. Select the package tag you are auditing.
  3. If this inventory exist in multiple rooms, select the correct room you are auditing.
  4. Count the physical inventory.
    • *With the manage inventory permission, you can see the amount you are counting against.
  5. Add the counted amount to the app.
  6. Select the submit button. 
If the physical count is either greater or less than Flowhub Quantity:
  • Notification Screen
    • Add a note (note displays on Inventory Activity Report)
    • Submit or Cancel
  • Submit Screen
    • Submit and Approve
      • Quantity changes in the web app and on the NUG app
      • Clock changes to green
    • Submit for Approval
      • Quantity does not change
      • A manager will have to log into the web app or NUG and approve the quantity change
      • Clock icon changes to the Discrepancy icon
Follow these steps to approve changes:
  1. Login to the app and select the Discrepancy icon in the top left
  2. Locate the physical inventory
  3. Review the submitted discrepancy including the employee performing the original count, the expected and actual count, the +/-
  4. Recount or Accept
    • Recount > Add total inventory quantity, a note, submit. 
    • Accept > Updates the quantity in the Web app and NUG app. 
Budtenders
Follow these steps to audit Inventory:
  1. Locate the physical inventory in the store and the inventory within the Audit app.
  2. Select the package tag you are auditing.
  3. If this inventory exist in multiple rooms, select the correct room you are auditing.
  4. Count the physical inventory.
    • *Will not see the amount you are counting against.
  5. Add the counted amount to the app.
  6. Submit
If the physical count is either greater or less than Flowhub Quantity:
  • Notification Screen
    • Add a note (note displays on Inventory Activity Report)
      • Can also add comments to that same audit activity by selecting it
    • Submit or Cancel
